Office Manager/Testing Facility Coordinator

Applause is seeking an Office Manager to support our testing facility in the Manhattan, New York area. This individual will be responsible for office reception in addition to overseeing general site operations. The ideal candidate is self-motivated, possesses strong communication and coordination skills, and has a demonstrated history of supporting small scale business operations. The Office Manager will be responsible for visitor management, coordination with the landlord or suppliers, and monitoring site adherence to security policies and procedures.

Objectives of this Role:

  • Coordinate with landlord or suppliers to address site maintenance or improvement issues, ordering general office supplies

  • Regularly monitor the site and personnel against documented security policies and procedures

  • Oversee the guest experience and ensure a personal, friendly experience for anyone coming into the office

  • Manage internal and external site communications via telephone, e-mail, etc.

Daily and Monthly Responsibilities:

  • Manage all aspects of the office’s space/infrastructure including coordinating with Applause IT, People Ops and other orgs

  • Maintain appearance of common areas, organizing procedures, handling correspondence, managing filing systems, and overseeing supplies and equipment

  • Help establish and maintain office procedures

  • Oversee the day-to-day activities of the office as the main point of contact in the reception area, keeping management informed of performance with routine and requested reporting

  • Provide direct administrative support as needed; including maintaining access control logs, managing the secure shipping and receipt of devices and equipment,

  • Oversee and maintain office equipment for uninterrupted function, identify and fulfill office supply needs, and maintain and manage vendors

  • Process global payroll (bi-monthly)

  • Assist with global onboarding\offboarding

  • Assist with procurement

  • Book travel for staff

Skills and Qualifications:

  • 2+ years of office management experience

  • Strong time-management and people skills, flexibility, and multitasking ability

  • Proficiency Microsoft Office, G Suite products with aptitude to learn new software and systems

  • Engaging personality and optimistic outlook

  • Experience developing internal systems

  • Ability to handle confidential information

Preferred Qualifications:

  • Bachelor’s degree or equivalent

  • Demonstrated success in office management

Salary range for this position is included in accordance with current state/local pay transparency legislation. Please note that salaries may vary for different individuals in the same role based on several factors, including but not limited to location of the role, individual competencies, education/professional certifications, experience, and performance in the role.

Base Salary Range: $55,000 - $75,000
