About the role:

The Executive Assistant is responsible for providing executive support to our VP of Global Operations, VP of R&D, and VP of Service, through calendar management, travel planning, meeting and event coordination, expense reporting, drafting and editing communications, and preparing and editing spreadsheets, PowerPoint presentations and other documents as needed.

This position will be located in Wood Dale, Illinois and will be hybrid with the expectation of spending at least 3 days per week on-site.

In this role, you will:

  • Manage calendars and coordinate all aspects of internal and external meetings.

  • Arrange both domestic and international travel schedules.

  • Process expense reports, invoices, and other financial matters, ensuring accuracy and compliance with company policies.

  • Anticipate the needs of the executives and proactively address issues, delegating tasks and follow-up actions as necessary.

  • Act as a liaison between the executives, the directors, and other stakeholders, representing the company with professionalism and integrity.

  • Act as the primary point of contact for internal and external communications on behalf of the executives, screening and prioritizing inquiries as needed.

Are you qualified?

  • Five or more years of proven experience as an executive assistant or similar role supporting senior-level executives at C-Corp level.

  • Exceptional organizational and time management skills, with the ability to prioritize tasks and meet deadlines.

  • The capability to respond to changing situations and reprioritize work as necessary.

  • Ability to exercise discretion and confidentiality when handling sensitive information and executive communications.

  • Excellent communication skills, both written and verbal, with a professional and courteous demeanor.

  • Strong problem-solving skills and attention to detail. Ability to exercise judgment within general defined practices and policies in identifying problems and determining solutions.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications (Concur, iBuy).

The below range reflects the range of possible compensation for this role at the time of this posting. We may ultimately pay more or less than the posted range. This range may be modified in the future. An associate’s position within the salary range will be based on several factors, including, but not limited to, relevant education, qualifications, certifications, experience, skills, seniority, geographic location, performance, shift, travel requirements, sales or revenue-based metrics, any collective bargaining agreements, and business or organizational needs.

The compensation range for this role is $38.00 - $43.00 USD per hour. This job is also eligible for Bonus Pay.
